Steps for submitting an application

  1. Complete all mandatory and any appropriate optional application components. Be sure to carefully follow all application guide and opportunity announcement instructions. Before you can submit the application, you must save your work and check the application package for errors by clicking the “Check Package for Errors” button at the top of the Adobe screen. Once all identified Errors are corrected, the Submit button will become active.

    Note that NIH is required to use Federal-wide forms, so agency specific instructions cannot appear on the forms themselves. Because of this, unfortunately the “Check Package for Errors” button will only verify that the fields required by all agencies have been completed. It will not check any of NIH’s requirements (such as NIH page limits, or the requirement to include the PI credentials on the form). Therefore, additional errors or warnings may be identified later in the submission process once NIH systems have retrieved and processed the application.

  3. Enter your username and password. You must be fully registered to successfully submit.

    Reminder: Only an Authorized Organization Representative (AOR) can submit applications to on behalf of an organization.

  4. After submission you will be presented with a confirmation screen. On the bottom of the confirmation screen you will find your tracking number. You also will see your official receipt timestamp. Print this page or record this information for future reference. You may need this information later as proof of on-time submission.

  5. The submitting AOR should receive a receipt of confirmation, followed by a notice that the application has been retrieved by the grantor agency.

  6. Once NIH’s eRA system retrieves the application, it checks to confirm that agency-specific guidelines have been followed. The AOR listed on the application, the Principal Investigator, and the contact listed on the application will all receive notification of the status of the application in the eRA Commons.
